Key Volunteer/Manager Job Descriptions

Volunteer Check-in Manager

You will be responsible for helping with the setup of the volunteer check-in area and checking in up to 1,000 volunteers/handing out t-shirts to the volunteers, signing off volunteer letters, and helping to tear down and clean up the volunteer check-in area. A mandatory site visit prior to the event date is required for this position.

Volunteer Check-in Hospitality

You will be responsible for helping with the setup of the volunteer hospitality area, distributing food to up to 1,000 volunteers, as well as helping tear down and clean up the volunteer hospitality area.

Volunteer Escort

You will be responsible for helping with the setup and organization of the Volunteer Escort Area, escorting hundreds of volunteers from the volunteer check-in area to their volunteer location, and returning all volunteer escort signage to the volunteer check-in tent before leaving. A mandatory site visit prior to the event date is required for this position.

Packet Pickup Supervisor

You will be responsible for locating participants' race envelopes containing their bib. This position includes providing essential race information to the participants. This will be a busy area over the two days at the Running, Health and Fitness Expo. We are looking for enthusiastic and confident volunteers who are comfortable working with people. You will be supervising a group of volunteers who will be locating participants' race bibs as well. Race information (FAQs) will be provided to you before your scheduled shift(s) to prepare you for the possible questions you will be asked during the Expo.

T-shirt Distribution Supervisor

You will be responsible for organizing and distributing the technical race shirts and race kits to participants. You will be in charge of a group of volunteers who will be re-stocking and handing out shirts. Tasks include: assigning specific roles to volunteers, supervising set-up of the shirt area, ensuring adequate amounts of shirts and race kits are available at all times, ensuring the station is running smoothly, and assisting with clean-up. Race information (FAQs) will be provided to you before your scheduled shift(s) to prepare you for the possible questions you will be asked during the Expo.

Greeter Manager

You will be assigned to a group of 20-35 volunteers who will act as "Greeters" — answering questions from runners and spectators from a list of Frequently Asked Questions. Tasks include distributing clipboards containing site maps and FAQs, ensuring Greeters understand the information provided, especially key areas indicated on the maps, positioning Greeters according to a pre-determined plan, checking-in with Greeters and assessing needs regularly. A mandatory site visit prior to the event date is required for this position.

Baggage Manager

You will be responsible for managing volunteers assigned to the Baggage Check Area. You will need to supervise the volunteers and make sure they are checking in the bags properly and sorting them in the tent in the correct numerical order, handing the bags back to the correct people, as well as assisting with the tear down and clean-up of the Baggage Check Area. Baggage Managers working on Race Day (Sunday, October 18, 2015) have the option to also work for Setup on Saturday, October 17, 2015.

Finish Line Supervisor

You will be positioned in the finish chute (either before or after the finish line) to assist with participant and/or pedestrian marshaling. This will be a very exciting and busy area so we are looking for enthusiastic and confident volunteers who are comfortable working with people! A mandatory site visit prior to the event date is required for this position.

Food Supervisor

You will be responsible for a group of volunteers who will be re-stocking and handing out food to runners after the race. Tasks include assigning specific roles to volunteers, supervising the set-up of the food area, ensuring adequate amounts of food are available at all times and the station is running smoothly and assisting with clean-up. A mandatory site visit prior to the event date is required for this position.

Water Station Manager

You will be responsible for a group of volunteers who will be filling & re-stocking cups of water for runners after the race. This station is secondary to the larger Water/Gatorade station at the Finish line and is situated in the Party Site. Tasks include assigning specific roles to volunteers, supervising the set-up of the area, ensuring adequate amounts of water are available at all times and assisting with clean-up.

Elite Athlete Doping Chaperone

You will be responsible for picking-up top winners up from the finish line, and ensuring they get to their required areas at specified times (includes Doping Control, Awards Ceremony & Press Conference). Advise winners that they have been selected for drug testing, and chaperone athlete to doping control centre. A mandatory site visit prior to the event date is required for this position.

Elite Athlete Supervisor

You will be responsible for picking-up top winners up from the finish line, and ensuring they get to their required areas at specified times (includes Awards Ceremony & Press Conference). A mandatory site visit prior to the event date is required for this position.

Start Supervisor

You will be assigned to one of the colour coded start corrals and will be responsible for supervising a group of 6-12 volunteers. Start supervisors are responsible for ensuring participants enter their correct start corral and start the race at the assigned time. This will be a very exciting and busy area so we are looking for enthusiastic and confident volunteers who are comfortable working with people! A mandatory site visit prior to the event date is required for this position.

Marshal Manager

You will be responsible for managing all of the volunteer marshals in your area — traveling by bike back and forth along the course throughout the day. You must ensure there is a volunteer marshal located at all key points in your section and follow the outlined protocol if there is not. After the last runner has gone by the 1st marshal location in your area, you will start re-collecting all the marshal vests from the volunteers & dismiss them. After you've dismissed the last marshal, you will need to hand back all the marshal vests at the closest water station. Requirements: You must have your own bike or the use of a bike on race day (Sunday, October 18, 2015). A site visit prior to race day (date TBC) is required to cycle your section of the course and go over any "hot spots" to look out for on race day.
